Here’s a simple step-by-step guide to change the incoming and outgoing mail server in Microsoft Outlook for Windows 10/11:
1. Open Outlook
- Launch Outlook from your Start Menu or Desktop.
2. Access Account Settings
- Click on the File tab in the top left corner.
- Under Account Information, click on Account Settings.
- From the dropdown, select Manage Profiles.
3. Open Mail Setup
- In the Mail Setup window that appears, click on Email Accounts.
4. Modify Mail Server Settings
- In the Account Settings window, under the Email tab, select the account you wish to modify and click Change.
- In the Server Information section, change:
- Incoming mail server to:
mail2.razorweb.co.nz - Outgoing mail server (SMTP) to:
mail2.razorweb.co.nz
- You can SKIP Step 5, however, if you continue to have issues, please come back and try the changes noted in step 5 below.
5. More Settings
- Click More Settings.
- Go to the Outgoing Server tab and ensure that My outgoing server (SMTP) requires authentication is checked. Select Use same settings as my incoming mail server.
- Go to the Advanced tab and confirm the ports:
- Incoming server (IMAP or POP3): Use your standard port (e.g., 993 for IMAP, 995 for POP3).
- Outgoing server (SMTP): Typically set to 587 or 465.
- Select SSL/TLS encryption as needed.
6. Save and Close
- Click OK to close the More Settings window.
- Click Next and then Finish.
7. Restart Outlook
- Close and reopen Outlook to apply the changes.
For Smartphone: Android GMail Users

4. Incoming Mail Server Settings
- In the account settings, scroll down and select Server settings.
- Under Incoming settings:
- Change the IMAP server to:

- Make sure the Port is set to 993 for IMAP (with SSL encryption).
- Confirm that SSL/TLS is selected for Security type.
5. Outgoing Mail Server (SMTP) Settings
- In the Server settings section, tap Outgoing settings.
- Change the SMTP server to:
mail2.razorweb.co.nz - Ensure your Username (your full email address) and Password are entered correctly.
- Set the Port to 587 or 465 (commonly used for SMTP with SSL/TLS).
- Make sure SSL/TLS is selected for Security type.
6. Save Changes
- After updating the server settings, tap Done or Save to apply the changes.
7. Restart Gmail App
- Exit the settings and restart the Gmail app to ensure the new settings are applied.

4. Edit Account
- Tap the Account field again, where you will see your email details.
5. Modify Incoming Mail Server
- In the INCOMING MAIL SERVER section, change the Host Name to:

- Under the OUTGOING MAIL SERVER section, tap SMTP.
- Tap the Primary Server (usually the first option).
